Kuubiik is a global provider of AI-driven outsourcing, recruitment, and agency services. We operate a job board and talent platform where clients and candidates can connect. We also offer Contractor of Record (COR) services in select jurisdictions.

We act as:

• Data Controller for candidate profiles, job applications, and account usage.
• Data Processor when managing employment or contractor information on behalf of a client.

2. What Personal Data We Collect

We collect personal data either directly from you, automatically through your use of our Services, or via third-party platforms you connect.

a. Information you provide

• Full name, email, phone number
• Profile photo, nationality, address
• Resume/CV, education and employment history
• Salary expectations, preferred job types
• Communication preferences

b. Data from recruitment or contractor onboarding

• National ID or passport number
• Tax ID, bank account information
• Visa, work eligibility, or compliance forms
• Signed agreements or NDAs
• Background check and verification data (where applicable)

c. Data collected automatically

• IP address, browser and device info
• Platform usage logs and activity history
• Cookies and tracking technologies (see Section 11)

d. Data collected via Google or LinkedIn (SSO Login)

When you log in or register using Google or LinkedIn, we collect:

• Your name
• Email address
• Public profile information (e.g. profile photo, job title)
• Unique user ID from the SSO provider

This data is used to authenticate your identity, create or link your account, and enhance your experience. We do not access your login credentials or passwords.

3. Legal Basis for Processing

We process your personal data based on:

• Consent – when you provide your data voluntarily or use third-party login
• Contract – to deliver recruitment, job-matching, or contractor services
• Legitimate interest – to maintain platform security, improve user experience

5. AI-Powered Features

Kuubiik uses artificial intelligence (AI) to:

• Suggest job matches based on your profile
• Rank candidate applications for employers
• Pre-fill data when registering via Google or LinkedIn

We do not make fully automated decisions that produce legal or significant effects. You may opt out of AI features by emailing us at data@kuubiik.com.

6. When We Share Your Data

We may share your data with:

• Employers you apply to or get matched with
• Third-party service providers (e.g. Stripe, HubSpot, background check partners)
• Government authorities where required by law
• Our contractor management partners if you are onboarded via COR

We do not share your personal data with Google or LinkedIn beyond what is required to complete the login process.

7. Linked Accounts (Google & LinkedIn)

If you choose to sign in using Google or LinkedIn:

• Your public profile and email will be used to create or log into your Kuubiik account.
• You may unlink your Google or LinkedIn account at any time from your Kuubiik account settings.
• Unlinking your account does not delete your Kuubiik profile but will require setting a new password for future access.

8. Retention of Your Data

We retain personal data:

• Candidate profiles & applications: up to 2 years after last activity
• COR / payroll / contract data: up to 7 years (or as required by law)
• Marketing data: until you withdraw consent

You can request deletion of your data at any time unless retention is legally required.

9. International Data Transfers

We may transfer data outside your home country. Where we do, we ensure appropriate safeguards using:

• Standard Contractual Clauses (SCCs)
• Approved international data transfer frameworks
• Data protection agreements with third-party processors

10. Your Rights

You have the right to:

• Access, correct, or delete your data
• Withdraw consent
• Object to or restrict processing
• Request a copy of your data (portability)
• Unlink connected accounts (Google/LinkedIn)
• File a complaint with a supervisory authority
